Beachside Roofing has transformed over the past 40 years from a modest operation into the state of Hawaii’s largest commercial roofing contractor, now generating $45 million in annual revenue. Founded by a surfing enthusiast with an entrepreneurial spirit, the company has grown into a modern enterprise, balancing its rich legacy with the demands of a rapidly evolving industry. Vice President Scott Ai explains, “We’re about $45 million strong today, a much different company than the one the boss first started. The leadership paradigm that shaped our beginnings was right for its time, but moving forward, we need a different approach to meet new challenges and opportunities.”

Challenges

Despite its success, Beachside Roofing faced inefficiencies in its financial reporting and decision-making processes due to siloed data in its ERP system, Sage 100. The system provided a macro-level view of projects but lacked the granularity needed for precise decision-making. As a result, teams had to manually export and process data through spreadsheets, slowing their ability to make timely and informed decisions. Scott explains, “Sage is very good at reporting at a macro level—so job as a whole. But we weren’t able to get down into the details very easily without running multiple reports and transferring data to spreadsheets to make good, solid decisions.”

Communication gaps between departments compounded these challenges. Beachside’s Project and VizCom Manager Tylynn Ai McMoneagle notes, “Accounting is looking at the earned percent complete, or the percentage of earned complete, and then the project teams are more focused on the percentage of billed completely. So there’s a discrepancy there. If the cost to complete isn’t getting updated and we can’t see that in real-time, it understates our backlog. Closing that gap is super important to us.”

The implementation process took about two weeks of back-and-forth with the ProNovos implementation team. We connected our data, ran reports on our end, and compared them to Sage to ensure everything was reporting as expected. Within that short timeframe, we got everything aligned, which, to me, was impressively quick.

To maximize the impact of ProNovos, Beachside Roofing adopted a tiered and collaborative rollout strategy. The team prioritized their largest jobs, those exceeding $1 million, to ensure they targeted areas with the highest return on investment. They began by implementing ProNovos’ job review tool with their strongest teams, developing systematic procedures to dive deep into projects at granular levels—down to phases, cost codes, and cost types.

Scott noted, “The job review tool gave us a systematic way to go through all the parts of a job. It allowed us to document changes and foster team commitment. Starting with our largest jobs and strongest teams helped us develop procedures that we could use to train the rest of the organization.”

ProNovos allows us to update on a more granular level in real-time so we can keep up with our job costs to complete in real-time by phase and get ultra-specific with documenting and logging that info in so it empowers our project managers to get engaged with their details and helps us see that actual process.

Tylynn explained, “This individualized approach strengthened our teams without the fear of judgment, enabling them to ask the questions they needed during training.” She adds, “They offer a variety of tools and resources, both on their website and through their team. We worked closely with an implementation manager, which was incredibly helpful. The biggest hurdle was navigating the tool initially, but the training materials on ProNovos’ website and the support from our implementation manager made the process much smoother.”
